Built for hospitality

Every guest arrives
to something written
for them.

A welcome pack built once around how your house actually speaks, then ready for every arrival after it. You edit the components, you approve the experience, and nothing reaches a guest until you say so.

The walkthrough

Two minutes, start to finish.

Watch First Impression run once, end to end — the job going in, the work coming back, and the moment you approve it.

The whole workflow

From arrival to approved welcome in four steps.

No dashboard to learn. No prompt to perfect. The arrival is the input, and the pack is what you edit before anyone sees it.

  1. Choose the guest arriving, or enter the booking details yourself if nothing is connected.

  2. The pack draws together a welcome message and host prompts written in your calibrated voice.

  3. Change the register, rewrite any line, remove anything that does not fit this guest.

  4. Approve the pack for your team to use on the day. Approval prepares it — it never sends it.

Welcome message

Sarah, Tom — welcome back, and a very happy anniversary. Forty years is worth marking properly, so your room is ready early and there is something cold waiting in it. The garden is at its best around six if you would like an hour before supper.

Edward, House Manager

Left in the room for the guest
Room note

Garden Room made up early. Blinds left open — the light lasts until supper on the south side. Two glasses and the Blanc de Blancs on ice by half past three.

For housekeeping, before 15:30
Host prompt

Mention the terrace is open until nine. Do not make a ceremony of the anniversary in front of the room unless they raise it first.

Optional touch

Corner table by the window held for tomorrow at eight, well away from the rest of the room. Kitchen would like to send something extra between courses.

Offer it quietly, accept a no
Every component stays editable until you approve

Approving does not send anything. No message, email or text goes to Sarah & Tom E., and no guest record is changed. The pack is simply marked ready for your team to use on the day.

A couple arriving at 16:00 for two nights. Booked direct. It is their wedding anniversary, they have stayed with you once before, and they have asked about a quiet table on the second evening.
Country-house hotelAssured, unhurried, quietly ceremonial

Mr and Mrs Ellery — welcome back, and a happy anniversary. Your room is on the south side this time, so the light lasts until supper. There is a decanter of the Oloroso you liked in the library; ring down and we will bring it up instead if you would rather not come down. I have held the corner table by the window for eight o’clock tomorrow, and the walled garden is at its best around six if you want an hour before dinner.

Same arrival. Four welcomes. This is the difference between a product and a blank chat box.

Trust is won on the hard ones

Any pack can be warm. Judgment is knowing when not to be.

Most arrivals are straightforward. The ones that matter are the arrivals where cheerfulness would be a mistake, and where the right answer is fewer words, not more.

01Bereavement stay
Party of fourArriving 13:00 · 1 night · Rooms 2 and 6
Booked by telephone. The caller said the family are attending a funeral in the village the following morning and asked for rooms close together and a quiet check-in.
In your voice · accountable

Mrs Hale — your rooms are ready and they are next to each other on the first floor. Check-in is done, so there is nothing to sign when you arrive; please come straight up. There is tea, water, and something to eat in each room, and the small sitting room by the stairs is yours this evening if the family would like somewhere private. Breakfast is from half past six, or we will bring it to you at whatever time suits. If you need anything at all tonight, ring zero and someone will answer.

02Accessibility requirement
Mr and Mrs BardhanArriving 15:00 · 3 nights · Ground floor
Booking note reads “wheelchair user, ground floor please”. Nothing else is recorded. The ground-floor rooms are step-free from the side entrance but not from the front door, and the bathroom is a wet room without a fold-down seat.
In your voice · accountable

Mr and Mrs Bardhan — thank you for telling us in advance. Before you travel I would rather confirm the details than guess at them. Your room is on the ground floor and is step-free from the side entrance, which we will have open and staffed for your arrival; the front door has two steps. The bathroom is a level-access wet room with a fixed rail, but it does not currently have a fold-down seat — we can hire one in for your stay if that would help. Could you tell me the width you need through a doorway, and whether you would like us to move any furniture before you arrive? I will confirm everything back to you in writing once we have spoken.

03Return after a complaint
Mr CottrellArriving 18:30 · 2 nights · Room 9
Stayed in March. Complained on departure about a room that was not ready until gone six and a noisy extractor overnight. It was resolved at the time with a partial refund. He has booked again, directly, and has said nothing about the previous stay.
In your voice · accountable

Mr Cottrell — welcome back. Your room is ready now, well ahead of your arrival, and it is number nine at the quiet end of the corridor, away from the plant room. The extractor that kept you awake in March was replaced in April. I will not labour the point beyond that. If anything is not right this time, ask for me by name at the desk and I will deal with it myself rather than leaving it until you check out.

Every one of these was read and approved by the owner before the team used it. That is the point — it drafts the arrival, you keep the judgment.

The practical difference
25minutes
by hand
<3minutes
with the pack

Personal at every arrival. Not only the ones you had time for.

Across a representative week of eighteen arrivals, that is roughly six and a half hours returned to the team — and the Tuesday guest gets the same considered welcome as the Saturday one.

Our own working estimate for an eighteen-arrival week, not a measured client result. Your week will differ.

14

day refinement windowIf the welcomes do not sound like your house, we rewrite the voice profile with you. There is no further charge.

One build. Yours to keep.

Stop writing the welcome at half past four.

One calibration, and every arrival after it starts in your voice — not a blank box and not a template with a name dropped into it.

The honest answers

Everything worth asking before you buy.

No. You pay £450 once. The arrival pack and your House Voice profile are delivered to you and are yours to keep, and there is no monthly fee from us. It is the only product in the range that works this way.

No. Nothing is ever sent to a guest by the pack. Approving a pack marks it as ready for your team — it does not send a message, an email, or a text, and it does not change a guest record. Sending, printing, or handing over the welcome is always something a person does.

Only if you set that connection up separately, and that is not included in the £450. Without it, you start each welcome yourself by choosing the arrival or entering the booking details — which takes seconds. If a connection is configured, upcoming arrivals can surface in the list automatically. Even then, nothing is sent automatically.

Change them, or write the welcome from scratch. The pack is a draft, not a record. Nothing has left the building at that stage, so a wrong date, a misspelled name, or an occasion that turns out to be something else is corrected before anyone sees it — which is exactly why approval sits with you.

Always. The welcome message and the host prompts stay fully editable up to the moment you approve them. You choose the register, rewrite any line, and delete anything that does not belong to this guest.

An arrival pack system calibrated to your voice, a documented House Voice profile, welcome registers for celebration, discretion, families and practical arrivals, host prompts for your team, a working handover, and a 14-day refinement window. All of it delivered to you to keep.

Ten days from the point we receive your welcome examples and house notes. Most of that is calibration; the handover itself takes under an hour with your team.

Tell us during the 14-day refinement window and we rewrite the voice profile with you, at no further charge. We calibrate from your own messages rather than from a house style we invented, so the common fix is narrowing what it says — not teaching it who you are.

Configuration cleared. Choose capability lines to see confirmed totals.
